What is self-inspection?

Self-inspection is a set of regular checks that must be carried out to ensure that equipment, routines and safety are functioning as they should in the workplace.

These checks are an important part of the systematic safety work that must be carried out, and it is also important to document that the checks have been carried out.

What needs to be checked and how often will vary from workplace to workplace, and based on the role of the individual. It is therefore important to have a self-inspection plan that is adapted to different roles and areas of responsibility.

Who is responsible for self-inspection?

Responsibility for self-inspection is shared. Operations and property management have overall responsibility for the safety of the building and common areas, while each individual tenant is responsible for self-inspection in their own premises.

At PiD Solutions, we distinguish between
  • self-inspection for tenants
  • self-inspection for operations and property management

Tenants use digital forms in PiD Drift to carry out self-inspection in their own premises.

Operations, security guards and janitors use PiD Drift and PiD Drift Mobile for control rounds with QR codes, and to register tasks, errors and deficiencies, as part of the self-inspections.

It is important that those responsible for self-inspection know what self-inspection entails, and how it should be carried out. It is also important that those responsible for self-inspection have access to the necessary information to be able to carry out the self-inspection in an effective and good way.

Frequently asked questions

Self-inspection is an important part of systematic safety work.

It helps to ensure that routines, equipment and facilities function as they should, and that deviations are detected and followed up on time.

Several laws and regulations require businesses to work systematically with safety and to be able to document that necessary controls have been carried out. This applies, among other things, to the Internal Control Regulations, the Fire and Explosion Protection Act and the Working Environment Act.
Self-inspection is an important tool for fulfilling these requirements and contributing to safe and sound operations.

All businesses must have a system for internal control, and self-inspection is an important part of this. Which controls must be carried out depends on the business's activities, risks and which laws and regulations apply to the industry.

You can find applicable regulations on Lovdata↗ and see what requirements are placed on internal control and documentation.

Self-inspection is particularly relevant for businesses such as shopping centers, office buildings, hotels and other commercial buildings.

If self-inspection is not carried out, it can lead to equipment, routines and safety not functioning as they should in the workplace. This can in turn lead to accidents, injuries or other problems that can negatively affect both employees and the business. It is therefore important to carry out self-inspection regularly and document the results.

Regulatory authorities may also require documentation that self-inspection has been carried out, and lack of documentation can lead to fines or other sanctions.

How self-inspection works for tenants in PiD Drift

Self-inspection has to be completed four times a year, and is sent out from the system every quarter. To simplify the process, an email is sent with information about the self-inspection, with a button that takes you directly to the form. The content of the self-inspection is adapted to the type of property or business you work in, and may have different control questions based on the season.

In the app PiD Drift Mobile you can see the status of your self-inspection, and easily switch between multiple premises if you are responsible for several. The app is also useful for checking that information about your areas is correct. You can view course reports and send reminders to employees to complete courses, see an overview and status of errors you have reported, read your fire instructions, and view saved forms and previous self-inspections you have completed.
